This data protection notice (the Notice) describes how OnSite Communications, Inc. and its affiliates (the Company, we, us, or our) collect, use, disclose, and protect personal information of individuals who visit our websites, including www.onsitecommunications.org and any related subdomains or successor sites (the Sites), and who interact with our products, services, and communications.
This Notice applies to Personal Information we collect through the Sites, when you contact us, when you apply for a position with us, when you sign up for our waitlist or book a demo, and when you use our products and services. Personal Information means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household.
We are a Delaware corporation. The Sites are operated from the United States. By using the Sites or providing Personal Information to us, you acknowledge that your Personal Information will be processed in accordance with this Notice and applicable U.S. federal and state privacy laws.
Personal Information We Collect.
Categories of Personal Information We Collect. Depending on how you interact with us, we may collect the following categories of Personal Information (as defined under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, the CCPA):
Identifiers, such as name, postal address, email address, telephone number, account name, and IP address;
Customer records, such as billing information and contact details voluntarily provided to us;
Commercial information, such as products or services purchased, considered, or otherwise obtained;
Internet or other electronic network activity information, such as browsing history, search history, and information regarding your interaction with the Sites;
Geolocation data, such as approximate location derived from IP address;
Professional or employment-related information, where you apply for a position with us;
Inferences drawn from any of the above to create a profile reflecting your preferences and behavior; and
Audio, electronic, visual, or similar information, such as recordings of customer support calls where notice and any required consent are obtained.
We do not knowingly collect sensitive personal information as defined under U.S. state privacy laws. If we collect such information (for example, government-issued identifiers for tax or employment purposes), we limit our use of it to purposes permitted by law.
Purposes for the Collection and Use of Your Personal Information.
Purposes of Collection and Use. We collect and use Personal Information for the following business and commercial purposes:
to provide, operate, maintain, and improve the Sites, our products, and our services;
to process transactions, including booking demos, processing waitlist sign-ups, and fulfilling related requests;
to communicate with you, including responding to inquiries, sending service announcements, and providing customer support;
to send marketing communications, where permitted by applicable law and subject to your right to opt out;
to evaluate candidates for employment;
to detect, prevent, and respond to fraud, security incidents, and unlawful activity;
to comply with applicable laws, regulations, legal process, and lawful requests from public authorities; and
to establish, exercise, or defend legal claims.
How We Disclose Your Personal Information.
How We Disclose Personal Information. We may disclose Personal Information to the following categories of recipients:
Affiliates — our subsidiaries and corporate affiliates, for the purposes described in this Notice;
Service Providers — third parties that perform services on our behalf, such as cloud hosting (Amazon Web Services), analytics, email delivery, customer support tooling, and payment processing, in each case bound by written agreements that restrict their use of Personal Information to the services they provide;
Professional Advisors — our auditors, lawyers, bankers, insurers, and other professional advisors;
Government Authorities and Legal Process — where required by applicable law, regulation, legal process, or governmental request, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others; and
Business Transfers — to a buyer or successor in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to customary confidentiality protections.
No Sale or Sharing of Personal Information. We do not sell Personal Information for monetary consideration, and we do not share Personal Information for cross-context behavioral advertising, in each case as those terms are defined under the CCPA and other applicable U.S. state privacy laws. We have not engaged in such sale or sharing in the preceding twelve (12) months.
Cookies, Web Beacons, and Similar Technologies.

We and our service providers use cookies, web beacons, pixels, and similar technologies on the Sites to remember your preferences, understand how the Sites are used, and improve your experience. You can manage cookie preferences through your browser settings. We honor opt-out preference signals, including the Global Privacy Control (GPC), where applicable law requires us to do so.

Retention of Personal Information.

We retain Personal Information for as long as is reasonably necessary to fulfill the purposes described in this Notice, including to satisfy any legal, accounting, tax, or reporting requirements, to resolve disputes, and to enforce our agreements. When Personal Information is no longer needed, we will securely delete, destroy, anonymize, or otherwise dispose of it.
Security of Personal Information.

We maintain reasonable administrative, technical, physical, and organizational safeguards designed to protect Personal Information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is fully secure, and we cannot guarantee absolute security. In the event of a security incident affecting Personal Information, we will notify affected individuals and applicable authorities as required by U.S. federal and state breach-notification laws.
International Data Transfers.
International Data Transfers. The Sites are operated from the United States, and our infrastructure provider hosts production data on Amazon Web Services in the Asia Pacific (Singapore) region (ap-southeast-1). If you access the Sites from outside the United States, your Personal Information may be transferred to, processed in, and stored in jurisdictions whose data-protection laws may differ from those of your country of residence. By using the Sites, you acknowledge such transfers.
Your Privacy Rights.
Your Privacy Rights. Depending on where you reside, you may have the following rights with respect to your Personal Information, subject to verification of your identity and to exceptions under applicable law:
Right to know / access — to request confirmation of whether we process your Personal Information and to obtain a copy of that information and information about how we process it;
Right to delete — to request that we delete Personal Information we have collected from you;
Right to correct — to request that we correct inaccurate Personal Information we maintain about you;
Right to data portability — to receive a copy of certain Personal Information in a portable, readily usable format;
Right to opt out of sale, sharing, or targeted advertising — although, as noted above, we do not sell or share Personal Information or use it for targeted advertising;
Right to limit the use of sensitive personal information — where applicable; and
Right to non-discrimination — we will not discriminate against you for exercising any of these rights.
You may exercise these rights by contacting us using the details in the Contact Us section below. We may need to verify your identity before fulfilling your request. You may also designate an authorized agent to submit a request on your behalf; we will require written authorization and may require the agent to verify their identity.
U.S. State-Specific Disclosures.
State-Specific Disclosures. The following supplements the rights described above for residents of certain U.S. states.
California (CCPA / CPRA). California residents have the rights described above. We do not sell or share Personal Information as those terms are defined under the CCPA. The categories of Personal Information we have collected, the sources from which we collected them, the business or commercial purposes for which we collected them, and the categories of third parties with whom we shared them are described in the Personal Information We Collect, Purposes, and How We Disclose sections above. We have not knowingly disclosed Personal Information of minors under 16 for sale or sharing.
Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), and Utah (UCPA). Residents of these states have the rights to access, correct (where applicable), delete, and obtain a copy of their Personal Information, and to opt out of targeted advertising, the sale of Personal Information, and certain profiling. We do not engage in such targeted advertising, sale, or profiling that produces legal or similarly significant effects.
Texas (TDPSA). Texas residents have rights substantially similar to those listed above, including the right to access, correct, delete, obtain a portable copy of, and opt out of targeted advertising or sale of their Personal Information.
Appeals. If we decline to take action on your request, you may appeal our decision by contacting us using the details below. We will respond to your appeal within the timeframes required by applicable law and, if your appeal is denied, will provide instructions for contacting your state attorney general if available.
Children’s Privacy.
Children’s Privacy. The Sites are not directed to children under 13, and we do not knowingly collect Personal Information from children under 13 in violation of the Children’s Online Privacy Protection Act (COPPA). If you believe that a child has provided Personal Information to us, please contact us and we will take steps to delete that information.

Changes to this Notice. We may update this Notice from time to time. When we do, we will revise the Date last updated at the bottom of this Notice. Material changes will be communicated by posting a prominent notice on the Sites or, where appropriate, by direct notice to you.
Governing Law.
Governing Law. This Notice is governed by the laws of the State of Delaware, United States, without regard to its conflict of law principles. Nothing in this Notice limits any rights you may have under your state of residence’s consumer privacy law.
